Staffing Check-In

An important consideration when using Badgy is staffing. The most efficient way to get attendees through the door is a fully staffed check-in. As Badgy is flexible you could have this for rush hour and then have self-checkin for late arriving attendees.

It's important to strike the right balance between the number of staff checking-in attendees and the number of staff operating the Print Stations. The bottleneck at registration will often be the humans and not the equipment.

Recommended Setup

  • 1 staff member per Print Station
  • 1 staff 'greeter' with a phone per Print Station

With this setup we have found that a single printer can process around 200 attendees in a one hour registration window. Of course this will vary based on throughput, but this should give you an idea of what you may need for your event.

Print Station Staffing

Leave a 5-10m gap between where your greeters scan your attendees ticket and where they collect their badge at the Print Station. This gives the staff member at the Print Station time to get their badge ready.

It's also a key to have clear signage at your event. For Print Stations we generally name them A, B, C etc. And ask attendees to have their QR code ready as they approach your greeters.

Here is an example of an event with 1,500 attendees through the door in one hour.

Testing

It is advisable to test that your staffing is able to keep up with demand prior to your event.

While using our Free Plan you can print test badge labels to test your setups ability to handle check-in and badge printing. We recommend setting up a single Print Station as you plan to on the day. An example would be two check-in devices connected to a single Print Station.
